Nextgen Data Archival and Migration: Preserving Data Integrity and Enhancing System Efficiency

Triyam has supported Nextgen data archival and migration for several clients across the healthcare sector, successfully archiving approximately 851,123 clinical records.

Hospital systems are looking for highly effective, adaptable, and fully integrated solutions for electronic health records (EHRs), practice management, and revenue cycle management across the board. The rationale behind these replacements is always the same: improving Integrated Delivery Network (IDN) procedures and putting in place a new system to consolidate technologies and better meet the changing demands of the organization. Physician groups, clinics, and other healthcare facilities must choose which EHRs to maintain or whether to switch to a new system if they lack the infrastructure to handle the rapidly increasing volume of health data required to coordinate care among clinicians, systems, facilities, and patients.

Triyam has over 12 years of experience in managing and archiving legacy data. Any ambulatory healthcare system that needs to replace a range of information management systems should consider data archiving as a solution. Maintaining these systems solely to meet record retention obligations becomes increasingly risky once they are replaced.

We worked with Triyam to retire and archive an old legacy EMR system that was costing significant money to keep running. We were able to abstract and archive all the data from our on-premises servers to their cloud, making our data available to search and retrieve past patient data by our medical records staff with ease. The attention to detail and quality of work delivered was amazing, their technical team is very talented. Our project was a huge success, and we are happy we partnered with them for the right solution.

Customizable Active Archive Features are appreciated by users

    • Multi-tenant Single-Sign-On: Fovea can integrate with Active Directory for Single Sign-On (SSO) and authentication. Many of Triyam’s customers use Single Sign-On (SSO) for authenticating into Fovea via their existing infrastructures such as Active Directory, ADFS, or LDAP. This important feature ensures users maintain immediate access to legacy data from NextGen.
    • A/R wind down: Fovea’s A/R module allows the collection of pending payments, post adjustments, and balance transfers, thereby enhancing the financial position of the healthcare organization. The Accounts Receivable wind-down module enables users to actively manage patient balances. Financial balances can be tracked and managed using revenue cycle management features in Fovea’s A/R module.
    • Customizable Feature: Fovea, our cloud-based scalable storage platform, allows customizable visual record views based on data source and data type (EMR, ERP, Accounting, HR, and more) with configurable search screen sorting.
    • Purging: The initial archive will be created with all the records required by your retention policy. As time passes, the oldest records should be purged according to that policy. Fovea supports this purging process.
    • User Access Control and Logging: HIPAA applies to archives too! If your data includes subsets that are highly sensitive, the archive should be able to limit access, just like your old system did. Fovea provides the ability to log access down to the document level, with user time/date stamps. Archive administrators should be able to easily audit and review those logs.

3 Steps For Nextgen Data Migration:

1. Assessing your information

    • Who are the stakeholders in your data? Notify everyone who might be interested in the information that is going to be moved, altered, or removed. Someone unexpectedly needing access to the files you are transferring shouldn’t cause you to stop in the middle of the data migration procedure.
    • Which data will be transferred to the new system? It’s likely that some of the older data is no longer applicable if you’ve been in practice for many years. This historical data can be deleted or archived. Decide whether medical data should be transferred to a new EHR system in accordance with data stakeholders.
    • Which types of data are automatically transformable into new formats? Data transport may now be sped up and made easier by automating many procedures.
    • Which will need to be entered by hand or by typing? This will assist you in determining the extent of the most labor-intensive tasks. See if you can convert specific data formats with the use of any software solutions.
Will you be offered a trial data migration by your present EHR vendor? To prevent data loss, several vendors let users “test-drive” data migration.

2. Defining the scope and timeline of your project

It’s now time to project how much money, time, and resources you’ll need to finish the Nextgen EHR data migration. At this point, it’s critical to choose a project manager and determine who will be accountable for the project’s results. In addition to managing vendor and data stakeholder relations, this individual will oversee the EHR data migration process.

3. Speak with your vendors.

Ideally, both vendors should actively participate in all preparatory work, including the EHR data conversion process. Your previous supplier ought to have supplied all the required details. If you have any problems preparing your data to meet the new system requirements, your new vendor ought to help.
The new EHR provider takes over after you have prepared your data. Your new vendor’s IT team will carry out the trial data transfer and determine the best course of action for the EHR data migration.

Our Customer Testimonial:

We upgraded our Electronic Medical Record system which created a need to archive the data from 10 different systems. This was a large project that started with evaluating five data archive solutions. Because of Triyam’s experience, familiarity with our legacy systems, and the security of our data, the decision was clear. They truly became our business partners in this effort. We remained on schedule and on budget. Throughout the project, their team was extremely responsive to all our emails and other communications.
